Host Guidelines
Thank you for your interest in submitting a panel or event to Furnal Equinox! We would not be able to offer the variety of programming we do without your help. Before starting your submission, please take a moment to read the following information carefully. If you have any questions about the submission process after reviewing the following information, please contact us at fepanelsandevents@furnalequinox.com. We’ll get back to you as soon as we can!
Submission Process and Timelines
Panel and event submissions will be open until 11:59 PM Eastern Time on October 24, 2026. We cannot accept late submissions.
Please submit all panels and events you’d like to host through our Sched form at the bottom of this page. Please make sure you have all the information you need ready before you begin – the form does not automatically save!
After submitting the form, you can expect the following:
- You’ll receive an email confirmation. If you don’t get this within 24 hours, check your spam folder. If it’s not there, please email us at the above email address.
- Our team will review all submissions in the period leading up to and immediately after the submission deadline. Please check your email regularly - we may email you if we have questions about your submission.
- A few weeks after the submission deadline, we will email you to let you know if your panel or event was accepted. If your panel or event was accepted, we will work with you on any further steps needed.
Hosting FAQs
Do I need to be registered for Furnal Equinox to submit a panel/event?
You don’t need to be registered for Furnal Equinox to submit a panel/event to us. However, if your panel/event is accepted, all hosts will need to be registered within two weeks of receiving your acceptance.
What kinds of panels/events can I host?
Here’s the categories we list in our submission form:
- Panel: In a panel, you’ll talk about something you have some experience with. There's no one right way to run a panel, but they’re often part class, part discussion, and part Q&A.
- Social/Meet and Greet: Socials are events where attendees with similar interests or shared experiences can meet to make new friends! This is a great opportunity to meet others who are like you in some way, or others who share your special interests.
- Workshop: Workshops are paws-on classes where you’ll guide attendees to do or create something. Workshops often focus on visual art, writing, crafts, or dance.
- Performance: Performances are events for you to showcase your talents, whether that’s strutting your stuff, telling stories, or something else entirely!
- Note that we do not accept concert submissions through this form. If you are a musician interested in performing a set/concert at Furnal Equinox, please submit an application to FurnalFest instead.
- Game Show: Like the ones you see on TV! We welcome both original game shows, and submissions inspired by existing game shows.
- Open Play/Tournament: If there’s a board, video, or tabletop game you’d like to play with others or a game tournament you’d like to host, we welcome submissions for these as well! These will require you to supply your own game and/or necessary hardware.
- Most of these will be scheduled in the Gaming Lounge, but if we anticipate your game will be a little big for that space, we will work with you to explore options for where to host your event.
- Other: Some programming just doesn’t fit into the above buckets, and that’s alright! We’d love to hear about and help enact your vision for what you’d like to see at the convention.
Will all panel/event submissions be accepted?
We will do our best to accommodate as many submissions as possible, but space and time are limited, so not all submissions can be accepted.
Furnal Equinox reserves the right to decline panel/event submissions for any reason. Instead of rejection, we may also ask you to make changes to your panel/event before we can accept it.
If your proposed panel/event is a popular idea, we may additionally reach out to connect you with other submitters to run something together.
I need some audio-visual equipment to run my panel/event. What does Furnal Equinox have that I can use?
Can I submit adults-only/18+ panels/events?
I need some more folks to make my panel/event idea work. Can I submit my idea first, and then add more hosts later on?
Will Furnal Equinox staff members be able to help me out with my panel/event?
Can I request that my panel/event be scheduled for a specific time, or not be scheduled at the same time as another event?
Can I collect donations for the convention charity during my panel/event?
I have an idea for a panel/event, but I can’t afford to run it. Can I charge an admissions fee or cover charge for my panel/event?
Can I serve food or drinks as part of my panel/event?
Can I give away prizes as part of my panel/event?
My panel/event has some unusual requirements. Where can I talk about these?
