Furnal Equinox 2025 Hotel Booking Information

General Information

During the first few weeks of online preregistration, attendees of all tiers will be asked if they wish to apply for a hotel room. This question will be available through November 12, 2024.
After this date, rooms will be assigned randomly to attendees based on their registered tier and number of occupants relative to their intended room type. Each tier has a set number of rooms available to them. While the largest number of rooms will be available to regular attendees, higher tiers (being a smaller pool) will have less competition for their desired room type. Once all rooms have been assigned by automatic drawing, a manual audit will be conducted to ensure fairness and accuracy.

After completion of the audit, successful participants will be notified and given an invitation to book their room. After your invitation to book has been received, you will have 96 hours (4 days) to complete your booking. Unreserved rooms will be reallocated to the next available person. After two rounds of drawings, the remaining rooms will be released to the public.

As rooms within our block are in high demand, we will be limiting reservations to one room per attendee. We apologize for any inconvenience.

Accepted dealers will again have a separate room block available to them. If any dealers apply for and receive a room within the regular registration tier block while already having another room in the dealers block, the non-dealer slot will be redrawn. The “one reservation per attendee” rule applies across all hotel blocks. Any remaining rooms within the dealer block will be released to the general block after all dealers have been given an opportunity to book. More information regarding the dealer-specific hotel block will be sent to accepted dealers soon.

Westin Harbour Castle

The Westin will be handling reservations for their property directly. Online booking will be through the Westin’s website. As such, you may call the Westin with any questions or to modify your reservation. You should ask to speak to group housing, available from 9 AM to 5 PM Monday through Friday, as they handle our room block directly. Please note that Westin suites will not be available for booking this year. 

There will still be continued construction in the Westin in March 2025. As such, we anticipate limited access to the South Tower elevators once again, and we are working on ways to cut down on North Tower elevator wait times. The Westin has done their best to accommodate our needs; any special requests for your room can be made during the booking process by using the special requests box.

We will be requiring a nonrefundable deposit equivalent to one night’s stay for this year. This will be charged in December. If your payment declines for any reason, you will have three business days or 72 hours, whichever is greater, to resolve any issues. Another charge attempt will occur in January for any booking not charged in December.

Queen/Queen Rooms – These rooms will be awarded on a priority basis to those groups with 2 registered members to ensure the most people possible can get rooms in The Westin. 

Booking Name – The name on your booking must match that of a registered attendee. The name on the credit card does not have to match the registered attendee. There must be a person over the age of 18 in each room; this is a legal requirement of the law. 

Overflow Hotel – One King West Hotel and Residence

We are pleased to be working with the team from SUITES at The One King West Hotel and Residence, located just under 1km northeast of The Westin. We have managed to negotiate a flat rate of $305/night with no additional occupancy fee. The team at SUITES has given us a selection of their best rooms at the property including Double Suites, King Suites, and Studio Suites with various views. We have negotiated 170 rooms to be available for guests on peak nights. These rates will be available from the 18th to the 25th of March with different rooms available at different date ranges.

They will also be providing complimentary Wi-Fi to all guestrooms and have many other property amenities available to all guests. They will also be taking a single night non-refundable deposit at the time of booking to secure all rooms.

They are approximately one block north and east of our negotiated lot, so there will be ample parking. There will also be limited on-site parking available for $60/night added to your guest folio.
