Media Policy

While we appreciate the potential interest of the press in our event and in the fandom at large, Furnal Equinox also respects and upholds the comfort and right to privacy of its attendees. This policy aims to define the standard actions the convention will take when dealing with commercial media sources.

Media arriving at the convention "on spec" will not be granted access under any circumstances. Any commercial media source that wishes to be present at the convention must contact the Public Relations Coordinator (e-mail ) well in advance with the following information:

The name of the media representative(s) that wishes to attend
The media organization represented (if applicable)
The purpose of said media coverage
The desired time and scope of coverage
Contact information (telephone and/or e-mail address)

Furnal Equinox staff will obtain all available information on the nature of the request (including inquiring into the credentials of the media source) and make a decision of whether to grant access appropriately; we will always make our decision in the best interests of our attendees and reserve the right to refuse any request.

Media must agree to abide by the following guidelines during the entire duration of their time in convention space before being granted access:

All media personnel must be escorted by the Public Relations Coordinator or other authorized staff member at all times. This authorized person's directions must be followed at all times.
All media must carry proper convention-issued credentials.
Attendees must explicitly consent to participation in media coverage before being interviewed/photographed/filmed, and have the right to withdraw that consent at any time.

Any member witnessing unescorted media personnel, or media without proper identification, is asked to contact convention staff immediately.

Please note that this policy does not apply in the following circumstances:

Furnal Equinox may produce a photo gallery or highlight video for the later enjoyment of its attendees and the promotion of the convention. By registering, attendees agree that their likeness may be used for this purpose.
Attendees to the convention who obtain photography/videos/interviews for personal, non-commercial use are not subject to this policy, so long as the permission of any prominently featured attendee is sought. However, no cameras or recording devices of any sort are permitted near dealer tables, due to piracy and copyright infringement concerns.
